Before publishing an Event, please carefully read and agree to the following terms to ensure smooth operation and compliance with platform standards:
1. Event Information & Content
Accuracy of Information: You must ensure that the Event’s title, description, date, time, location, agenda, ticket price, and other details are true and accurate; fabrication or exaggeration is prohibited.
Timely Updates: If any Event details change (including venue, time, fees, speakers), you must update the Platform immediately and notify all registered participants.
Prohibited Content: You may not post any text, images, or videos that are unlawful, infringing, discriminatory, pornographic, violent, extremist, or otherwise improper.
Copyright & Licensing: All text, images, videos, and audio materials used must be either original or properly licensed; you must attribute sources when required and may not use third-party content without authorization.
2. Venue Booking via the HiMeet Platform When you book a venue directly through the HiMeet Platform ("Platform Venue"), the following additional terms apply. These terms create a direct agreement between you (the "Organiser") and the "Space Provider."
2.1. Direct Contractual Relationship: You acknowledge that upon a Space Provider's acceptance of your booking request, you enter into a legally binding contract directly with that Provider. HiMeet is not a party to this rental agreement and acts solely as an intermediary platform.
2.2. Compliance with Venue Rules: You are responsible for carefully reviewing and complying with all rules, restrictions, and policies set by the Space Provider as detailed in their Venue Listing. This includes rules regarding noise, capacity, use of equipment, and cleaning requirements.
2.3. Responsibility for Damage: You are responsible for leaving the Platform Venue in the condition it was in when you arrived. You will be held financially liable for any damages caused to the Space or its contents by you or your attendees during the booking period.
2.4. Dispute Resolution & Evidence: If you encounter a significant issue with a Platform Venue (e.g., the space is not as described, or access is denied), you must report the problem to HiMeet within 24 hours of the event's conclusion. To facilitate a fair investigation, you must be prepared to provide clear evidence (e.g., photos, videos) to support your claim.
2.5. Cancellation Policy: All bookings for Platform Venues are subject to the cancellation policy selected by the Space Provider and displayed at the time of booking. You are responsible for understanding this policy, as it will govern any potential refunds.
3. Professional Qualifications & Permits
Qualification Requirements: For Events requiring specialized credentials (e.g., medical, legal, educational, diving, fitness, childcare), you must hold valid, government- or industry-recognized certificates or licenses and upload scanned copies to the Platform for review.
On-Site Verification: Platform staff or participants may request to see original certificates at any time; you must cooperate and retain copies (physical or digital) for at least 6 months after the Event.
Venue Permits: If your Event involves outdoor gatherings, alcohol service, noise permissions, etc., you must apply for and obtain written permits from relevant authorities; the Platform may require submission of these documents.
Insurance Recommendations: You are strongly advised to purchase public liability and event cancellation insurance to mitigate risks; you should clearly state the scope of coverage and claim procedures on the Event page.
4. Safety & Emergency Preparedness
Emergency Plan: Develop a detailed emergency response plan covering medical aid, fire evacuation, incident management, natural disasters, etc.; designate on-site responsible persons and provide emergency contact information.
Venue Inspection: Conduct a thorough safety inspection before the Event to ensure unobstructed emergency exits, functioning emergency lighting, and professionally tested AV equipment.
Accessibility Measures: Assess accessibility needs and provide ramps, seating, restrooms, and necessary aids (e.g., sign-language interpreters, wheelchairs); clearly list available facilities on the Event page.
Health & Hygiene: If public health measures apply (e.g., temperature checks, disinfection), you must provide necessary equipment and inform participants of any requirements in advance.
5. Data & Privacy Protection
Data Collection: Collect only essential participant information (e.g., name, phone number, email) and use it solely for Event-related communications.
Storage & Deletion: Delete all non-essential data within 30 days after the Event, in accordance with applicable laws and the Platform’s Privacy Policy; retain financial records as needed for audit purposes.
Consent: Participants must explicitly agree to the Privacy Policy and data usage terms during registration; you must include a link to the Privacy Policy on the registration page.
6. Fees & Refunds
Transparency of Fees: Clearly itemize ticket prices, service fees, and any additional charges on the Event page; explain the purpose of each fee.
Refund Policy: Publish a clear refund, rescheduling, and cancellation policy, specifying procedures, timeframes (no more than 14 days), and any non-refundable circumstances; display this prominently on the registration page.
Payment Settlement: All payments and settlements with participants must be completed offline; you must provide valid receipts or invoices and keep transaction records for at least 6 months.
7. Third-Party Vendors & Partners
Vendor Qualification: Ensure all third-party vendors (e.g., catering, AV, security) have valid credentials and appropriate insurance coverage.
Contracts: Sign written agreements with vendors that outline responsibilities, liability, and safety requirements; retain copies for post-Event inspection.
Quality Supervision: Monitor vendor performance during the Event; if any non-compliance or safety hazards arise, you have the right to terminate the vendor’s services and take corrective action immediately.

You accept full responsibility for the Event’s content, compliance, safety, and participant experience. Violation of these terms may result in measures including Event removal, suspension of privileges, or account termination.
